Subject: Management Behavior

The news is out InterClean has now acquired EnviroTech one of our closest competitors in this market. This exciting news will help propel us as a company to the top. It will also help us achieve the transition to a solutions-based company with a full range of products and services with the ability to meet any cleaning needs.

This is the start of a new and exciting chapter in our company’s future. We will be welcoming many new employees in the coming months so I have decided this would be a good time to discuss how we as managers and supervisors can help in making all of our employees as productive and comfortable as possible. I also think it would be prudent to discuss employment laws as they relate to our company. Our workforce is about to become much more diverse. This is an exciting prospect but we should discuss this to make sure we all understand what is appropriate in such an atmosphere.

As supervisors it your job to help create an environment in which employees feel needed, motivated and satisfied with the job they are doing. I have always believed that the best way to motivate employees is to be motivated your self. You will be surprised how much this works. Another way to keep employees motivated is to create an atmosphere in which people are empowered and feel they are part of something important. Help them to realize their potential let them know that the company needs and values their input. Don’t just listen to ideas and then discard them. Carefully think them out and then discuss your reasons for using them or not with the employee. Most importantly always work hard to align company goals with those of employees. It does no good for everyone to be working as hard possible if their goals are at odds with those of the company.

Hugh does not stray from his subject much and appears to stay on point with what he wants to address. The letter has an average format with a standard intro body and conclusion along with a signature which should be included in all e-mails. The clarity however leaves little to be desired for but at least Hugh admits that he does not understand his own employee or his friend. Hugh talks about how he was advised not to use certain enterprise software’s with by his friend and how he could not understand much of how the situation should be handled or how he should move forward with his business plans. The writing style is very unprofessional; it almost seems more like Hugh is writing to a friend rather than a co-worker or colleague. There are no real formalities Abram is only addressed by name once and the overall feel looks like something a brother would write to his family member. For instance, one-half is lost to scrap every single time a grade change is made. Some of the scrap can be recycled but other times it is simply thrown out. If FHPC continuous to make all twenty grades in one month, they are producing far more scrap paper than necessary. Additionally, certain paper cuts cause a substantial amount of depreciation on the knives used in the slitting process resulting in the purchase of more knives than potentially necessary. These certain grades require much more labor time than other grades because the knives causing more need for inspection often damage the paperboard edges. If FHPC continuous to manufacture 20 different paper grades in no specific order, their company will continue to loose a great amount of money. For convenience, FHPC decided to allocate all of their costs together into one lump sum and calculate overhead rate by multiplying the MOH percentage by the Material costs. The company currently does not have accurate cost estimates on each grade of paper produced. Consequently, the company is unsure about the profit/loss statements of each type of grade.
